By using Roomcard you acknowledge and agree to have read, understood, and agreed to the terms and conditions set out below.
These terms and conditions, which may be amended from time to time, apply to all Roomcard services directly or indirectly, made available online, through any device, or by email.
Roomcard (the "Website"),
In these terms and conditions, "we" and "us" means Roomcard (company number 12875944), whose registered office is at 90 Long Acre, London, WC2E 9RZ and is a wholly owned subsidiary of HotelMap.com Limited (company number 08571751), whose registered office is at 90 Long Acre, London, WC2E 9RZ)
We market and sell through the Roomcard Website hotel gift vouchers ("Roomcards") and provide an online platform through which bookings can be made for various types of temporary accommodation (“hotel booking(s)”). An agreement for us to sell you Roomcards or provide hotel bookings is made on the basis of these terms and conditions when we accept your order and receive your payment through the Website. A description of your order, the full order price, and any taxes or extra costs are set out on the order pages and purchase confirmations.

We sell Roomcards through the Website which can be used in place of or in conjunction with other methods of payment for hotel booking(s).
Payments for Roomcard orders are due immediately. Roomcards cannot be refunded. Payments can be made by various methods, including but not limited to credit / debit cards (Visa, Mastercard and American Express). It is not possible to purchase a Roomcard with a Roomcard wallet balance. Roomcards are not subject to VAT.
Roomcard reserves the right to deactivate any Roomcard(s) if the payment has not been received in full, if the payment is cancelled or if we have reasonable belief that the Roomcard was obtained by fraudulent means.
Delivery of Roomcards
Unless we specify otherwise, all Roomcard orders will be dispatched following receipt of payment and in accordance with the delivery method specified when placing the order. All delivery dates and times are given only by way of guidance and we will not be held liable in any way for late or no delivery. We shall attempt to deliver the Roomcard(s) at the specific date and time you select, to the mobile telephone number you specify. It is, therefore, important that the delivery details supplied by you to us are accurate. If your Roomcard is not delivered, you must advise us of non-receipt within 7 (seven) days of the specific delivery date you specified when purchasing the Roomcard(s).
Roomcard Accounts & Wallets
All Roomcards, Roomcard accounts and Roomcard wallets are unique and assigned to users based on their mobile phone number.
Roomcard accounts are where you can access your hotel booking details and update your contact information and Roomcard preferences.
Roomcards are valuable and cannot be replaced if they are lost or stolen. Roomcards are stored within Roomcard wallets. You should treat your Roomcard wallet as if it were cash, but they are not cheque guarantee, credit or charge cards. Roomcards cannot be returned or refunded. We cannot accept responsibility for any loss incurred as a result of theft, impersonation or identity fraud.
Roomcards will be subject to verification at time of redemption, we reserve the right not to accept any Roomcards that have or appear to have been forged or tampered with. We can accept no liability in these circumstances.
Roomcards are not for resale or transfer. Any breach of this may result in Roomcard wallets and accounts being suspended.
Validity of Roomcards
All Roomcards are typically valid for 2 (two) years (24 months) from the date of delivery and any hotel stays must be completed before the expiry date of the Roomcard(s) used to book the hotel stay. No refunds or reimbursements will be made for expired Roomcards.
Lost Roomcard Account / Wallet Details
Roomcard accounts and wallets are linked to users' mobile phone numbers. To access your Roomcard account or wallet, visit www.roomcard.com, enter your mobile phone number and complete the authorisation process. If you have any questions or do not know what mobile phone number was used to set up your Roomcard account and wallet, please email firstname.lastname@example.org.
You are unable to transfer any Roomcard from one Roomcard wallet to another, but you can use multiple Roomcards and/or Roomcard wallets when booking a hotel stay. You can choose this option and follow the instructions when making a hotel booking.
Making a Hotel Booking - Redeeming Roomcards
Roomcards are unique and redeemable for all properties/hotels that show availability at www.roomcard.com for your specific dates searched. Roomcard cannot guarantee any specific property or rate availability.
It is not possible to redeem your Roomcard(s) for funds or cash payment.
It is not possible to make a hotel booking and redeem your Roomcard(s) or Roomcard wallet balance directly with any hotel.
Any Roomcard balance from your Roomcard wallet will be deemed to have been used at the date you make a hotel booking via Roomcard. When making a hotel booking at www.roomcard.com, your Roomcard wallet balance can be deducted from the amount payable. If your Roomcard wallet balance is not used in full for a booking, the balance will update, remain valid (as long as it is within the validity period) and be available in your Roomcard wallet for other hotel bookings. If your hotel booking is more expensive than your Roomcard wallet balance, the remainder can be paid online via credit or debit card during the booking process.
Multiple Roomcards within one Roomcard wallet can be redeemed for a hotel booking. You can also pay for a hotel booking by combining Roomcard wallets at the time of booking.
After the redemption of your Roomcard(s) and any extra payment is processed, you will receive a hotel booking confirmation in your chosen format (PDF, email or text message). You will require this booking confirmation when checking in at the hotel. When checking in you should make sure to have some form of identification with you as the hotel may request this. Also, please note any extras consumed at the hotel (those not included on your hotel booking confirmation) will need to be paid directly to the hotel. This includes but is not limited to: in-room services, mini-bar consumptions, restaurant spend and any other extra hotel services.
Please be aware that any hotel images and hotel room photography are only a depiction of the type of rooms on offer at the properties and may not represent the actual room you receive on check-in. Hotel facilities, decor and amenities often change and are sometimes not available.
Roomcard strives to offer a variety of accommodation options to cater to the tastes and budgets of potential Roomcard users. Please note the categories and descriptions used on Roomcard, inevitably, may mean different things to different people. As such, Roomcard endeavours to provide users with sufficient details about the accommodation on offer to enable them to make an informed decision.

Hotel Booking Cancellation Policies, Terms & Conditions
When making a hotel booking on Roomcard, the cancellation policy, cancellation fees, and terms and conditions applicable to your search, the hotel and hotel booking will be visible throughout the booking process on the booking page and will appear on your hotel booking confirmation. These are specific to rate availability at the time of search and are set by the accommodation supplier and hotel. By confirming a reservation at a hotel, you accept and agree to the relevant cancellation policy, cancellation fees, taxes and terms and conditions of that chosen hotel.
Please remember when you make a hotel booking that you are responsible for ensuring that you meet any foreign entry requirements and that your travel documents, such as passports, insurance and visas (transit, business, tourist, or otherwise), are up to date, in order and meet the required standards. You should check that all foreign entry requirements are met before you travel.
Cancelling a Hotel Booking
Please check the cancellation policy on your hotel booking confirmation or within your Roomcard account via www.roomcard.com. If the hotel booking can be cancelled this can be done in your Roomcard account.
Any hotel booking with a flexible cancellation policy, that is cancelled, will incur a £35 administration fee. This administration fee will be taken from the value due to be returned to the Roomcard wallet and/or from the credit or debit card used to make the booking
If more than one Roomcard wallet was used to make the hotel booking, then the administration fee will be split across the Roomcard wallets and, as required, any credit/debit cards used.
For all hotel booking cancellations we aim to process any applicable Roomcard wallet and credit/debit card reimbursements within 10 working days.
In the case of non-cancellable hotel bookings or no-shows (if you do not turn up and check in at the hotel), there will be no refund made, at all, to any Roomcard wallet(s) or credit/debit card(s).
If you have any complaints about a hotel stay, please contact the hotel directly and as early as possible. Roomcard is not liable for any claims or complaints about hotel stays. If you are not able to resolve the dispute/complaint directly with the hotel, please email email@example.com and Roomcard will investigate the matter, and where appropriate, intermediate to try and assist with finding a solution.
Competitions & Incentives
We may run competitions or offer incentives on Roomcard - such as the option for you to send us photographs/videos of your trips or invite your friends and family to use Roomcard for the chance to win/earn Roomcards in exchange. When you enter any Roomcard competitions or take part in any special incentive offers, you are agreeing to let Roomcard use any submitted images, videos, names or details.
If a competition or incentive scheme has to be cancelled, due to unforeseen or extreme circumstances, then Roomcard is not obliged to fulfil any prizes. Although alternatives may be provided if suitable and available.
No bulk or third party entries will be accepted. Any entries, that we reasonably believe to have been submitted using automated systems, robot forms or with fraudulent details will be classed as invalid and disqualified.
We will do all we can to contact any winners to deliver the prize(s); however, this will rely on the correct details being submitted at the time of entry. So please ensure you submit the correct contact information to minimise the risk of this happening. If we are not able to get in touch with a winner we reserve the right to select another winner and reallocate the prize(s) to them.
Access to the Website and Content
We are continually improving our Website and adding features and hotels to book, so changes may be made at any time. We shall use reasonable commercial endeavours to keep the Website up to date but information and specifications given are for your information only and are subject to change without notice. We will endeavour to allow uninterrupted access to the Website, but access may be suspended, restricted or terminated at any time.
Unless stated otherwise, the intellectual property rights (including the copyrights) of the content, material, and information on this Website is property of Roomcard. Without Roomcard's written consent, no part of this Website may be used or reproduced.
Subject to the limitations set out in these terms and conditions and to the extent permitted by law, Roomcard shall not be held liable for (i) any actual, incidental, or consequential damages, (ii) any inaccuracy relating to the (descriptive) information (including but not limited to rates, availability, and ratings) of the accommodation made available on our Website, (iii) the services rendered or the products offered by the accommodation provider.
For the avoidance of doubt, Roomcard shall not be liable for any failure to fulfil our obligations caused by any event of force majeure (such as Acts of God, strikes/lockouts, war, riot/civil commotion, Order or Act of Parliament or any other event beyond our reasonable control). Roomcard does not provide any warranty that the Website is free from viruses or any other destructive matter. The information, products, services, and other material published on this site may regrettably on occasion include inaccuracies or typographical errors.
These terms and conditions for all Roomcard services and products shall be governed by and interpreted in accordance with English law. All rights reserved.
This policy covers the information you provide via Roomcard and all associated products.
These terms can only be modified with the prior consent of Roomcard and Roomcard shall have the right at any time to change these terms and to change, impose conditions on or discontinue any aspect or feature of the Website, without further notice.

We find that cookies really help us to continually improve our services and features and appreciate it if you have them enabled when using Roomcard.
What happens if I disable cookies?
Most browsers / devices allow users to control cookies within their settings. If you do not enable cookies on your browser/device or if you delete them, then we will not be able provide you with the best service that we would like to. For example, you may find that if you leave Roomcard, without completing an order or transaction, then you will have to start that process all over again as we will not know where you were up to when you left. You may also find that you have to log in to Roomcard more often and we will not be able to save your preferences.
